How Docen handles the documents you submit, including training, retention, and deployment choices.
What this covers
This policy explains how Docen handles the documents and files you submit for processing, and the outputs generated from them, together "Document Content." It supplements our privacy policy and terms of use.
Processing by default
By default, we use your Document Content only to produce the outputs you request and to operate the Service for you. Document Content is not used to train models that serve other customers unless you explicitly opt in.
- Your inputs are processed to return parsed, recognized, and extracted results.
- Outputs are returned to you and stored only as needed to deliver and support the Service.
- Access to Document Content is limited to systems and staff that need it to run the Service.
Model training
We build our models from data we are licensed or permitted to use. We do not train shared models on your Document Content without your explicit, revocable permission. If you choose to contribute samples to help improve a model, we will tell you how that data is used.
Retention and deletion
Unless your plan specifies otherwise, Document Content is retained only for the period needed to deliver and support your results, after which it is deleted or de-identified. You can request deletion of your Document Content at any time, and we will delete it within a reasonable period, except where retention is required by law.
Service providers
We rely on a small number of infrastructure and cloud-hosting providers to run the Service. These providers process data on our behalf under contracts that restrict their use of it to supporting Docen. We describe the categories of providers we use, rather than naming internal tools that do not process your Document Content.
Data residency and deployment
If your documents must stay within a specific environment or region, Docen can run inside your own cloud account or fully on-prem, including offline setups. In those modes, Document Content stays within your boundary. See the platform page for deployment options.
Security practices
We apply access controls, encryption in transit, and monitoring designed to protect Document Content. Deployment modes that keep processing inside your own environment give you additional control over where data lives and who can reach it.
